Ward Clerk/Administrative Officer – Mental Health Unit

About the Role

We are seeking a dedicated and highly organised Ward Clerk/Administrative Officer to support the operations of our Mental Health teams.

As a key member of the team, you will provide efficient administrative support to clinical staff while ensuring a welcoming and professional experience for consumers, families, carers and visitors.

This role requires a high level of discretion, sensitivity, and professionalism when working within a mental health setting.

Key Responsibilities

  • Coordinate administrative functions for the ward, including admissions, transfers, and discharges
  • Providing administrative support for intake, including health fund checks, bookings, and checking in to day programs
  • Maintain accurate and up-to-date patient records in line with Healthscope policies
  • Provide reception services, including answering phones and managing enquiries
  • Liaise with clinical staff, allied health, and external stakeholders
  • Schedule appointments and assist with coordination of patient care activities
  • Ensure confidentiality and compliance with privacy legislation and organisational standards
  • Support data entry and reporting requirements

Essential Criteria:

  • Previous administrative experience (hospital or healthcare setting highly regarded)
  • Excellent communication and interpersonal skills
  • Strong organisational and time management skills
  • Proven ability to manage competing priorities in a fast-paced environment
  • High level of attention to detail and accuracy
  • Proficiency in Microsoft Office and patient administration systems
  • Commitment to confidentiality and patient privacy
  • Strong commitment to delivering high-quality service within a healthcare setting
  • Exceptional communication style, especially when communicating with individuals experiencing mental health challenges

Desirable:

  • Experience in a mental health or acute care setting
  • Knowledge of Healthscope systems (e.g., WebPAS or similar)
  • Understanding of trauma-informed care principles
