About the role:

Reporting to the Residential Service Manager, the Administration Officer provides high-quality administrative and logistical support to residential services. Acting as the first point of contact, this role manages reception, communications and key administrative processes, ensuring a professional, responsive and resident-centred service

  • Provide reception coverage and create a welcoming, inclusive front-of-house environment

  • Manage phone calls, emails, enquiries and visitor entry requirements

  • Act as the first point of contact for residents, families and visitors

  • Provide administrative support including preparing correspondence, reports, agendas and minutes

  • Process incoming and outgoing correspondence accurately and in a timely manner

  • Support resident administration processes including admissions, records and reporting

  • Assist with accounts administration, including invoice processing

  • Maintain accurate records across systems and databases

  • Organise diaries, meetings, appointments and travel arrangements

  • Monitor and order office supplies and coordinate maintenance of office equipment

  • Respond to feedback and complaints with professionalism and escalate where required

  • Ensure confidentiality, privacy and accurate handling of sensitive information

  • Work collaboratively with staff to support smooth operations and a positive resident experience

Role requirements:

  • Proven experience in administration and office support roles

  • Strong customer service and communication skills

  • Proficiency in Microsoft Office and administrative systems

  • Strong organisational and time management skills

  • Ability to manage competing priorities and work independently

  • Understanding of confidentiality and privacy requirements

  • Experience working as a first point of contact handling enquiries and feedback

  • Experience in aged care or healthcare (highly regarded)

  • Satisfy the relevant probity checks required by legislation or organisational policy

  • Relevant vaccinations in line with organisational requirements

  • Certificate III or IV in Business Administration (desirable)
