About This Opportunity

We are seeking an experienced, motivated, energetic and highly organised Senior Administration Officer to support the coordination of internal and external events and improve related business processes.

In this role you will provide senior administrative support to ensure efficient institute operations. Other key responsibilities include coordinating events, managing documents, advising on rules and entitlements, handling financial and procurement processes, liaising with stakeholders, and providing administrative expertise. To be successful in this role you require highly effective interpersonal communication skills and demonstrate a commitment to providing a high level of customer service.

Key responsibilities will include:

  • Coordinate delivery of Sustainable Minerals Institute (SMI) events and engagement activities, including planning and logistics.
  • Provide high-level administrative and office support to staff and students.
  • Contribute to and implement business process improvements, including for events.
  • Act as the first point of contact for enquiries, interpreting policies and procedures.
  • Manage calendars, meetings, stakeholder relationships, and committee support.
  • Oversee financial administration, travel coordination and accounts payable processes.

This is a full-time, fixed-term position for up to 2 years at HEW Level 6.

About You

  • A degree with subsequent relevant experience; or extensive experience in relevant administration and/or secretarial administrative experience, or an equivalent combination of relevant experience and/or education/training.
  • Demonstrated high-level organisational skills, including event management, planning, information management, problem-solving and time management.
  • Excellent interpersonal skills including the ability to communicate effectively with staff at all levels as well as students and external stakeholders, including those from diverse cultural backgrounds.
  • A high level of proficiency in the Microsoft Office suite (Word, Excel, PowerPoint and Outlook).
  • Experience working as a team member in a busy environment.
  • Demonstrated ability to understand and apply a range of rules, policies and processes with regard to the regulatory and legislative context.
  • Skills in project coordination.
  • Working knowledge of University administrative systems, policies and procedures or the capacity to rapidly acquire this knowledge.
