Executive Assistant to the Mayor

Salary Range: LG06 ( $93,992 - $100,333 per annum + superannuation) based on skills, qualifications and experience

About The Role:
As the Executive Assistant, you will provide exceptional administrative, advisory, and organisational support to senior executives, exercising sound judgement, discretion, and confidentiality at all times. You will manage competing priorities in a fast‑paced environment while ensuring compliance with organisational policies, legislative obligations, and governance requirements. This role requires a proactive and highly organised professional who can anticipate executive needs and maintain a strong focus on accuracy, professionalism, and service excellence.
You will deliver high‑level executive and secretarial support, including managing complex diaries, correspondence, reporting, and competing priorities to meet strict deadlines. The role involves producing high‑quality executive‑level written and verbal communications, organising meetings, events, and functions, and providing financial and administrative support such as expense claims, procurement, and credit card reconciliations.
You will build strong, collaborative relationships with senior leaders, Councillors, and internal and external stakeholders, role model a positive safety culture, and navigate Council structures, policies, protocols, divisional boundaries, and Councillor responsibilities to ensure efficient outcomes and appropriate referrals.
About You:
Are you an experienced Executive Assistant who thrives in a dynamic environment and brings a calm, confident, and solutions‑focused approach. You have exceptional organisational skills, advanced computer literacy, and the ability to anticipate executive needs while balancing competing demands.
Essential Requirements
- Certificate IV or Diploma in Business (Administration) and/or extensive demonstrated experience providing executive-level advice and support.
- Demonstrated experience in a similar executive or senior administrative role within a diverse organisation.
- Advanced proficiency in Microsoft Office and business management systems.
- Exceptional time management, planning, and organisational capabilities.
- Strong financial administration experience, including reconciliations and procurement processes.
- Sound knowledge of Council structures, policies, administrative procedures, and government protocols.
